Default cannot save .firefox docs

We have a website which is dedicated to Maltese Dog Rescue...

JuleMaltese

On this website we have an Maltese rescue application (under "ADOPT") which can be filled out by the prospective adopter and which is sent to our Outlook.

Our site is hosted by hostmonster.com

When we open the document using Outlook, some are in a .firefox format and some are not

We don't know how to convert this document to a format which we can use such as MSWord or even PDF (MSWord is acceptable).

We need to save the documents in files which can separate the acceptable Maltese rescue applications from the unacceptable Maltese rescue applications.

We also desire to place comments such as sticky notes on the Maltese rescue applications so that we can tell quickly why an application was considered unacceptable and also follow the progress of the completed Maltese rescue applications through to the final adoption process.

Default hmm

just a few questions and observations.
looking at the source code, I see you have <form method="post" action=""> but do not see the mailto: anywhere ( other than in the mailto for the email address not related to the post action.) I am not familiar with wordpress but but it has to have somewhere to post to.
You are far better off if you can of getting a form handler script to put on your server as some email containing form information are blocked by email programs.
You are also assuming that the end user uses a separate email program to actually send your form. If they use a webmail account, it will never start the program.
If you want to be able to mark the emails some how copy them in to word and then just highlight the reason for acceptance/rejection. What would be even better was a form handler that would email you the details in either csv or tab delimited and then you can import them when they arrive in to something like Access. which can then be programmed to suit. What you want is something that sounds relatively simple but is not that easy to achieve. (depends on you knowledge) Anyway site looks quite nice and I wish you good luck with it.
